You can set a start and end time so it switches on and off automatically, and you can send a different message to people inside your organisation versus external senders. The feature is called <strong>Automatic Replies<\/strong>, and it needs a <strong>Microsoft 365 or Exchange account<\/strong> (most work accounts have this).<\/p>\n\n\n\n<h2 id=\"h-how-do-you-set-an-out-of-office-in-new-outlook-and-on-the-web\" class=\"wp-block-heading has-h-4-font-size\">How do you set an out of office in new Outlook (and on the web)?<\/h2>\n\n\n\n<p class=\"has-normal-font-size wp-block-paragraph\">New Outlook for Windows and Outlook on the web use the same steps:<\/p>\n\n\n\n<ol class=\"wp-block-list has-normal-font-size\">\n<li>Click the <strong>Settings<\/strong> gear (top right).<\/li>\n\n\n\n<li>Go to <strong>Accounts > Automatic replies<\/strong>.<\/li>\n\n\n\n<li>Turn <strong>Automatic replies on<\/strong>.<\/li>\n\n\n\n<li>Tick <strong>Send replies only during a time period<\/strong> and set a <strong>start and end<\/strong> date\/time (recommended, so it turns itself off).<\/li>\n\n\n\n<li>Type your message in the box.<\/li>\n\n\n\n<li>To reply to external senders too, tick <strong>Send replies outside your organisation<\/strong> and type a message for them.<\/li>\n\n\n\n<li>Click <strong>Save<\/strong>.<\/li>\n<\/ol>\n\n\n\n<h2 id=\"h-how-do-you-set-an-out-of-office-in-classic-outlook\" class=\"wp-block-heading has-h-4-font-size\">How do you set an out of office in classic Outlook?<\/h2>\n\n\n\n<p class=\"has-normal-font-size wp-block-paragraph\">In classic Outlook for Windows:<\/p>\n\n\n\n<ol class=\"wp-block-list has-normal-font-size\">\n<li>Go to <strong>File<\/strong>.<\/li>\n\n\n\n<li>Click <strong>Automatic Replies (Out of Office)<\/strong>.<\/li>\n\n\n\n<li>Select <strong>Send automatic replies<\/strong>.<\/li>\n\n\n\n<li>Tick <strong>Only send during this time range<\/strong> and set the start and end.<\/li>\n\n\n\n<li>On the <strong>Inside My Organization<\/strong> tab, type the message colleagues will see.<\/li>\n\n\n\n<li>On the <strong>Outside My Organization<\/strong> tab, optionally enable and write a message for external senders.<\/li>\n\n\n\n<li>Click <strong>OK<\/strong>.<\/li>\n<\/ol>\n\n\n\n<h2 id=\"h-how-do-you-set-an-out-of-office-on-the-outlook-mobile-app\" class=\"wp-block-heading has-h-4-font-size\">How do you set an out of office on the Outlook mobile app?<\/h2>\n\n\n\n<p class=\"has-normal-font-size wp-block-paragraph\">In the Outlook app for iPhone or Android: tap your <strong>profile\/account icon<\/strong>, then the <strong>Settings<\/strong> gear, choose your account, and tap <strong>Automatic Replies<\/strong>. Turn it on, choose whether to reply to everyone or your organisation only, type your message, and save.<\/p>\n\n\n\n<h2 id=\"h-how-do-you-set-an-out-of-office-if-you-don-t-have-a-microsoft-365-exchange-account\" class=\"wp-block-heading has-h-4-font-size\">How do you set an out of office if you don\u2019t have a Microsoft 365\/Exchange account?<\/h2>\n\n\n\n<p class=\"has-normal-font-size wp-block-paragraph\">Personal accounts (Gmail, Outlook.com or other IMAP\/POP accounts) don\u2019t have the Automatic Replies feature in Outlook. You have two options:<\/p>\n\n\n\n<ul class=\"wp-block-list has-normal-font-size\">\n<li><strong>Set the vacation responder in the webmail itself<\/strong>. For example, Gmail has a \u201cVacation responder\u201d in its settings, and Outlook.com has \u201cAutomatic replies\u201d. This is the more reliable option.<\/li>\n\n\n\n<li><strong>Create a rule with a reply template in Outlook<\/strong>. Build a message template, then a rule that replies using it. Note that for POP\/IMAP accounts Outlook must stay open on your computer for the rule to run, which is why the webmail option is usually better.<\/li>\n<\/ul>\n\n\n\n<h2 id=\"h-what-should-your-out-of-office-message-say\" class=\"wp-block-heading has-h-4-font-size\">What should your out of office message say?<\/h2>\n\n\n\n<p class=\"has-normal-font-size wp-block-paragraph\">Keep it short and useful. A good automatic reply includes:<\/p>\n\n\n\n<ul class=\"wp-block-list has-normal-font-size\">\n<li>That you\u2019re away and <strong>when you\u2019ll be back<\/strong>.<\/li>\n\n\n\n<li><strong>Who to contact<\/strong> for urgent matters (name and email).<\/li>\n\n\n\n<li>Whether you\u2019ll have any access to email.<\/li>\n<\/ul>\n\n\n\n<p class=\"has-normal-font-size wp-block-paragraph\"><strong>Example:<\/strong> \u201cThank you for your email. I\u2019m out of the office until Monday 8 September and will have limited access to email.
