Use the dropdown arrow for other options: Merge Across (merges each row separately), Merge Cells (merges without centring) and Unmerge Cells. The catch is that Excel keeps only the top-left value and deletes everything else. If you select two cells containing “Jan” and “Feb” and merge them, you are left with a single cell containing just “Jan”. That is fine for a heading that spans several columns, but it is a problem if both values were data you needed.

How do you merge cells in Excel?

Select the cells you want to merge (they must be next to each other).

Go to the Home tab.

In the Alignment group, click Merge & Center.

The cells become one and the content is centred. For more control, click the dropdown arrow next to the button:

Merge & Center — merges the selection into one cell and centres the content.

Merge Across — merges each row in the selection separately (handy for merging across columns on several rows at once).

Merge Cells — merges without centring the content.

Unmerge Cells — splits a merged cell back into individual cells.

How do you merge cells without losing data?

Because Merge & Center throws away everything except the top-left value, it is the wrong tool when you actually want to combine text from several cells. Instead:

Use the ampersand (&): in a new cell type
=A2&" "&B2
to join the contents of A2 and B2 with a space between them.

Use CONCAT or TEXTJOIN:
=TEXTJOIN(" ",TRUE,A2:C2)
joins a whole range with a chosen separator and skips blanks. These are cleaner for longer lists.

Then, if you want, copy the result and Paste Special > Values over the original.

How do you unmerge cells in Excel?

Select the merged cell (or a range that includes it), go to the Home tab, click the Merge & Center dropdown, and choose Unmerge Cells. The cell splits back into its original cells; the value stays in the top-left one and the others are left blank.

Why can’t I merge cells in Excel? (button greyed out)

If Merge & Center is greyed out, the usual reasons are:

Your data is in an Excel Table. Tables do not allow merged cells. Convert the Table to a range first (Table Design > Convert to Range), merge, or better, avoid merging inside data.

The sheet is protected. Remove protection (Review > Unprotect Sheet) if you have the right to, then merge.

You are editing a cell. Press Enter or Esc to finish editing first.

When should you NOT merge cells?

This is the part most tutorials skip. Merged cells quietly break common tasks:

Sorting and filtering throw errors or behave unpredictably when a range contains merged cells.

Selecting a whole column or row and copying/pasting often fails with “This won’t work on merged cells”.

Formulas and features like VLOOKUP, tables and PivotTables expect one value per cell and get confused by merges.

As a rule: never merge cells inside a data range. Merging is fine for a report title across the top, but not within the rows and columns you will actually work with.

How do you center text across cells without merging?

There is a tidy alternative that looks like a merge but keeps every cell intact: Center Across Selection.

Select the cells you want the text to span.

Press Ctrl + 1 to open Format Cells.

On the Alignment tab, open Horizontal and choose Center Across Selection.

Click OK.

The text centres across the range, but each cell still exists, so sorting, filtering and copying keep working. It is the professional’s choice for centred headings.

Practice on your own spreadsheet

Merging has its place, but knowing when to reach for Center Across Selection or a formula instead is what separates a tidy, sortable spreadsheet from one that fights you later.

Cell formatting, data layout and functions like TEXTJOIN are covered in our instructor-led Excel training courses, in-class in Sydney and Melbourne or Online Live across Australia.
